This call is for new clients who have signed an engagement and are ready to get started, or returning clients who are restarting or expanding services.

What We'll Cover

Scope

We’ll confirm exactly what’s included in your services (and what isn’t) so nothing falls into the “wait, I thought you did that” category.

Timeline

We’ll review your start date, first deliverables, and what to expect in the first few weeks so the rollout feels planned—not chaotic.

Access

We’ll make sure we have the right access to QuickBooks, banks, payroll, and connected apps to avoid day-one roadblocks.

Workflow

We’ll map out what we handle each month versus what you’ll provide, with clear handoffs and zero mystery steps.

Deadlines

We’ll identify key dates like payroll, sales tax, reporting, and any lender or compliance needs so you don’t get surprised by a calendar ambush.

Communication

We’ll agree on how we’ll communicate (email, portal, cadence) so you know when you’ll hear from us and why.

Escalations

We’ll set the “if something’s on fire, here’s what to do” path so urgent issues don’t get stuck in the normal queue.

Next Steps

We’ll end with a clear “what happens next” plan: who’s doing what, by when, and when you’ll see your first updates.

What To Prepare Beforehand

This is a working session—Being prepared will help ensure this call is productive and efficient.

Access

Have logins ready for QuickBooks and the bank/CC accounts connected to it, plus any tools like payroll, payments, invoicing, e-commerce, or bill pay (Gusto, Stripe, Square, Shopify, etc.).

This one is critical. If we can’t access the systems, we can’t start.

Context

Share prior bookkeeper/CPA contact info (if applicable) and any key documents we may need like recent statements, loan/merchant account details, or prior reports.

This gives us the context and the right people to coordinate with if questions come up. 

Issues

Bring any quirks, concerns, or “we should probably tell you this” items—messy history, unusual workflows, lingering questions, or anything you already suspect needs attention.

Surfacing it now helps us plan the right next steps instead of discovering it mid-flight.

After the Meeting

We’ll start executing based on the agreed plan. You’ll know exactly what happens next, when to expect updates, and who to contact if questions pop up.
